Settings reference

Every BookMyVenue setting explained: venue details, public address, timezone and business day, tax details, booking policy, closures and calendar links.

Every setting, what it does, and what breaks if you get it wrong.

Settings is Owner-level. A Manager sees a reduced set; Staff and Read-only do not see it at all.

Settings is split into eight sections down the left of the page. Pick one and it stays in the address bar, so you can bookmark or send a link straight to the section you mean.

General & venue

Venue nameShown to guests on the booking page, in emails, and on receipts. A venue needs a name — it cannot be blank

The phone field does double duty. It is both what guests see and where "text me when a booking comes in" sends to. A landline cannot receive a text — see Notifications. If you want venue SMS, this must be a mobile.

This section also points you at two things that live elsewhere: your public booking address (under Appearance & embed) and your own login, where you change your own password.


Bookings & availability

Booking confirmation

"New bookings need my confirmation."

  • On — online bookings arrive pending and wait for you.
  • Off — they confirm instantly.

Individual services can override this — see Services.

Minimum booking notice

"How soon before a slot can someone book it?"

How close to the start time a guest may still book online. Note that if you have connected an outside calendar, that connection can also raise the floor — see Connected calendars below.

Cancelling online

"Clients can cancel their own appointment online."

On saves you phone calls and frees the slot immediately. Off means every change comes through you.

Cancelled bookings on the Diary

"Hide cancelled bookings from the Diary."

On, a cancelled booking disappears from the day view instead of sitting there greyed out. Nothing is deleted — cancellations still appear in Find booking and in your reports. Turn it on if your diary is busy enough that cancellations are clutter; leave it off if you like seeing what fell out of the day.

Vehicle details

"Ask for the vehicle when someone books."

For automotive and mobile-service venues. Adds vehicle details to the booking form so the job arrives with the car already on it.

Closures and days off

Two kinds, on one screen:

  • Repeating day off — "closed every Monday". Repeats weekly.
  • One-off closure — a date or a date range. Public holidays, a fortnight in January.

Each takes an optional reason, which is staff-only and never shown to guests. Scope decides who it applies to: the whole venue, or one practitioner. Starting from may be left blank to start today; Until may be left blank for open-ended.

Closures remove availability from the public booking page immediately.

Publishes your bookings as a subscribable feed for Apple Calendar, Google Calendar or Outlook.

Create a calendar link → choose whose bookings (Everyone, or one practitioner) → name it → copy the address. The screen includes step-by-step instructions for iPhone or iPad and Google Calendar (computer).

Two things the screen tells you, and both matter:

  • Treat this link like a password. Anyone who has it can read that calendar. Delete the link to revoke it.
  • Calendar apps refresh on their own schedule — every 5 minutes at best, often much less often. A booking taken a minute ago will not be on your phone yet.

The feed is read-only. Editing the event in your calendar app changes nothing here.

Connected calendars (outside bookings coming IN)

Settings → Bookings & availability → Connected calendars, which opens the Calendars screen.

This is the opposite direction to the links above. Subscribe to a practitioner's own Google or Outlook calendar (paste its calendar (.ics) URL) and the times they are busy there stop being bookable here. A dentist appointment in someone's personal calendar closes that slot on your booking page without anyone having to remember to block it out.

Add one per practitioner. This connection is also where the minimum-notice floor comes from, so a practitioner whose calendar updates slowly may need more notice than the venue default.


Notifications

Text alerts to your venue

"Text me when a booking comes in."

Read Notifications before relying on this. It needs two switches on, and it cannot deliver to a landline.

Notification templates

Per-template, per-channel (email and SMS), each independently active or inactive:

Booking confirmed · Reminder · Cancelled · No-show follow-up · Waitlist offer · Rescheduled · Order ready · Order rejected

An email template needs a subject line. Reset restores the stock wording.

Payments & tax

These print on tax invoices. Blank means what you hand a customer is a receipt, not a valid tax invoice.

Public-holiday surcharge is set here too: a percentage, applied automatically on public holidays in the state you set under Regional, and disclosed to the guest before they pay.

Appearance & embed

Your public address (slug)

Your address is bookmyvenue.com.au/book/ + your slug.

Change it early. Once you have put the link on a menu, a business card, your Google listing or a Facebook post, changing the slug breaks every one of them. The screen asks you to confirm because of exactly that.

Booking widget branding

What your booking form looks like to a guest who opens it from your own website.

Score and count show as social proof on the booking form. Put in the real numbers from your Google listing — a made-up score is a misrepresentation, and guests check.

Forms

Build intake questionnaires and attach them to services.

  • Questions can take a single-line answer or a multi-line answer.
  • Publish makes a form live; Archive retires it without destroying answers already collected.
  • Form names must be unique — you will be told if one already exists.

Timezone is the setting most worth checking twice. Get it wrong and every reminder goes out at the wrong time, consistently, for every guest — and it looks like a notification fault rather than a settings one.

Business day starts is for venues trading past midnight. Set it to, say, 5am and a 1am order counts as the previous night's trade. The screen warns you: this changes your money-report boundary. It also drives order numbering. Change it between trading days, never mid-service.
