Events, gift cards, promotions & functions

Sell ticketed events with door check-in, gift cards, promo codes, and quote-and-accept functions for private bookings.

Four ways to take money that are not a plain booking. All four are available regardless of whether your venue is appointments or hospitality.


Events

Creating one

Create an event with:

Once created, the event has a public page at app.bookmyvenue.com.au/events/<your-slug> — share that link, put it on socials, put it in your newsletter.

Selling

The event list shows Sold / capacity at a glance. Tickets cannot oversell: capacity is enforced when the ticket is issued, not checked optimistically afterwards.

A ticket being paid for is briefly reserved — held while the guest is on the payment page, and released automatically if they abandon it. This is the same protection deposits use, and it means an abandoned checkout does not lock up a seat all night.

Each ticket has a holder and a ticket code. The guest is told to show the code at the door.

On the night — door check-in

Events → Door is the door screen. Scan or enter a ticket code and you get one of three answers, in large type:

The door screen is built to be usable on a phone, in the dark, by someone who is not the owner.


Gift cards

Gift cards in the staff navigation, plus a public purchase page at app.bookmyvenue.com.au/gift-card/<your-slug>.

How they work

A gift card is a code with a balance and an optional expiry.

  • Guests buy them from the public page — they enter their name, their email, and the recipient's details, and the recipient receives the code.
  • You can issue a comp — a gift card the venue creates without a sale. Use it for service recovery, a prize, a staff gift. Comps are recorded as comps, so they never distort your takings.

Redeeming

Two ways:

  1. At the till — choose Gift card as the payment type and enter the code. The balance is drawn down by what was spent. Partial redemption is normal: a $100 card against a $64 bill leaves $36 on the card.
  2. Manual redemption — for cases the till does not cover.

The gift card screen shows every card's balance, status, expiry, and who purchased it for whom.

Gift cards are a liability, not income, until they are redeemed. Your accountant will want that distinction — Reports keeps it.


Promotions

Promotions is promo codes.

The list shows redemptions per code, so you can see which campaign actually worked.

Using one

A guest enters the code when ordering. Staff can apply a code to an order from the order screen.

A code that has expired, or an order under the minimum spend, is refused at the point of use with a reason — not silently ignored.

Discounts affect commission. Commission is calculated on what was actually taken, not on the pre-discount price. See Team.


Functions

Functions are the quote-and-accept path: a birthday in the back room, a wake, a corporate lunch — the enquiries that are negotiated rather than booked off a price list.

The flow

  1. The enquiry. The customer fills in the public enquiry form — their name, email, phone, and what they are after.
  2. It lands in Functions. You see it with their contact details.
  3. You quote, or you decline.
  4. Send a quote — set the total for the function and, optionally, a deposit. The deposit cannot exceed the total; the screen will stop you.
  5. Decline this enquiry — the customer is told, politely, rather than being left hanging.
  6. They accept and pay. The customer receives a link to the quote, accepts it, and pays the deposit.
  7. It is confirmed. The function is on.

The Functions screen has a share your public links panel with the enquiry page address ready to copy — put it on your website's "Functions & events" page and on your Google Business profile.

If a payment looks stuck

A customer who has paid but is still seeing "Still confirming your payment" is waiting on their bank's confirmation coming back to us. This normally resolves in seconds. If it persists, do not take the money again — check the function's status first, and contact support with the function reference.
