Switching to BookMyVenue
We'll help you move without closing the venue.
Your old system keeps taking bookings while we set up the new one. You change the booking link only after the new diary is tested and your team has used it.
How the move works
- Export your data. Download your client list and upcoming bookings from your current system, or send us the spreadsheet you already keep.
- Import customers. We bring your clients across with you, and a dry run shows what will land before anything changes.
- Configure the venue. Opening hours, closures, booking rules and the messages your guests receive.
- Configure tables, services or rooms. Your floor, your services and prices, or your room types and rates, set up to match how you work today.
- Test. You make test bookings on your own website and read every confirmation that goes out.
- Train. We walk your team through the diary, the till and the screens they will use.
- Change the booking link. Point your website's book button, and every other link you control, at your new booking page.
- Go live. New bookings land in BookMyVenue. Anything booked in the old system during the changeover is brought across before service.
- Monitor the first service. We stay on the phone through your first busy service, and we sort out anything that comes up on the day.
What comes across
- Your client list, from Fresha's export or any spreadsheet.
- The bookings already in your diary.
- Your list of services.
- A dry run first, so you check the result before anything is written.
What stays behind
- Saved cards and payment tokens. They belong to your old payment provider and can't be moved.
- Reviews on other platforms. They stay where your guests wrote them.
- Your listing on another company's marketplace.
Moving from another system
Each page compares that system with BookMyVenue and covers what changes when you move.
Coming from a paper diary or a spreadsheet
Send us the spreadsheet and we import your clients with a dry run first. Upcoming bookings in a paper diary go in as phoned-in bookings, which your staff enter from the diary screen.
From there it is the same move as everyone else: test, train, change the link and go live.
Switching questions
No. Your old system keeps taking bookings while we set up BookMyVenue. You change the booking link once the new diary is tested, and we bring across anything booked during the changeover.
Yes. We import clients and bookings from a Fresha export or any spreadsheet, with you. A dry run shows the result before anything changes.
Saved cards stay with your old payment provider and can't be moved. A deposit you already took stays where it was paid, and you note it on the booking when it comes across. New deposits and saved cards are taken in BookMyVenue through Stripe.
It depends on how many services, tables or rooms you have and how much history comes across. We agree the go-live date with you before we start, and the old system keeps working until that day.
