Feature catalogue
Everything in one system
Every BookMyVenue feature, grouped by the part of your business it runs.
Bookings and the booking widget
- Online bookings from your own website. One paste-in snippet puts the booking form on your site, under your name. Guests book without creating an account.
- Double bookings blocked by the database. Two bookings can never take the same table or practitioner slot. The database refuses the second one.
- Hosted booking page for venues without a website. Every venue gets its own booking page at app.bookmyvenue.com.au, so a venue with no website still takes bookings online.
- Guest link to view, move or cancel a booking. Every confirmation carries a private link. The guest views, moves or cancels the booking from it, with up to three moves per booking.
- Booking requests or instant confirmation. You choose per service whether a booking confirms on the spot or waits for your approval. Requests you leave unanswered expire on their own.
- Offer another time on a booking request. When a requested time does not suit, you offer another one. The guest confirms the new time from the email or SMS.
- Waitlist when nothing suits. Guests join a waitlist when no time suits them. A freed slot goes to the next matching guest, and staff can seat a waitlisted guest straight into a booking.
- Next available day. One tap in the booking grid takes the guest to the next day with a free time.
- Notice periods, booking window, buffers and closures. You set the minimum notice, how far ahead guests may book and the buffer between bookings. Weekly and one-off closures keep those days off the grid.
- One booking per tap, even on a weak connection. A guest who taps Book twice on a patchy connection gets one booking. We recognise the second tap and ignore it.
- Where each booking came from. Every booking records the channel it came from, so your reports show which ones bring guests in.
- Phoned-in bookings entered by staff. Staff enter phoned-in bookings with the guest's requirements and, for mobile work, the job address.
- Weekly repeating bookings. Staff set a booking to repeat weekly. Guests do not set up a series themselves.
- Table reservations. Guests book a table for their party size. You run sections and allocate the tables.
- Floor plan with live table status. The floor plan shows each table's status as it changes during service.
- Walk-ins in the same diary. You add walk-ins to the same diary as bookings, so one screen shows the whole night.
- Table waitlist for walk-ins. Walk-in guests join the table waitlist from a link or QR code. Staff seat them, and a freed table goes to the next guest in line.
- Drag-and-drop floor-plan editor. Edit your floor plan by drag and drop on the web, with several layouts.
- Guests manage or withdraw a table request. A guest opens their table booking to change it, or withdraws a request the venue has not confirmed.
- Guest self-service changes, per-service rules. Set per-service rules for what guests change from their manage link.
- Deposit and cancellation policy shown before booking. Guests see your deposit and cancellation terms in plain words before they confirm.
- Resume an unfinished booking. A guest who leaves the booking form part way through picks up where they stopped.
Appointments, clinics and services
- Group appointments (one booking, several people). Book one appointment for several people at once.
- Stage scheduling across chairs, rooms or machines. Run one service through several chairs, rooms or machines in stages, each booked in turn.
- Services, prices and practitioners. You list services with durations, prices and who performs them. An "any practitioner" booking goes to whoever has the lightest day.
- Practitioner hours and time off. Each practitioner's hours, time off and roster decide which times guests see.
- Service add-ons. Guests add extras to a service. Each add-on adds time and, if you choose, a price.
- Vehicle details with the booking. Guests give the make, model, rego and odometer reading when they book a vehicle in.
- Intake forms and questionnaires. You build intake forms with required fields, dates, conditional questions and a typed-name signature. A form never blocks a booking, and each form link works once.
- Amend-only clinical notes. Clinical notes sit on the client record. Staff add an amendment to a note; nobody overwrites one.
- Clinic record retention and privacy wall. Clinic records keep their retention rules and sit behind a privacy wall, designed with Australian privacy and health-record obligations in mind.
- Recorded consent. Each consent a client gives goes on their record as a dated event.
- Cancellation policy tiers. You set cancellation tiers by notice window, and guests see the policy before they book. The policy is shown; no fee is charged online.
- Reminders that follow a moved booking. When a booking moves, its reminder moves with it. Every confirmation names the service booked.
- Field-job day board. A day board lists field jobs with their addresses so you plan the run.
- Intake form schema module (per-service question sets). Your own intake questions, set per service, answered by the client when they book.
Orders, QR and the kitchen
- Orders board. Orders arrive on one board. Staff accept or reject each with a reason and move it through its stages, and the board updates for everyone as they do.
- Menu editor. You edit categories, items, options and modifiers, then publish. A price change never rewrites what you already sold.
- Café starter menu. Cafés start with a ready-made coffee menu and edit it from there.
- QR ordering at the table. Guests scan the QR code at their table and order from their phone, and the order reaches your board tied to that table. They pay at the counter.
- Order ahead for pickup. Guests order for later from your own ordering link and pay when they collect.
- QR code management. You create QR codes one at a time or in bulk, group them by area, and relabel, replace or move them. Each change has an undo.
- Permanent short links for printed QR codes. Printed QR codes and NFC tags point at a permanent short link. You re-point the link, so you never reprint the code.
- Kitchen display screen. A paired screen in the kitchen shows incoming orders as they arrive.
- Kitchen docket printing. Orders print as kitchen dockets on Star CloudPRNT printers.
- Allergens shown to the kitchen. Menu items carry allergen flags, and a guest's declared allergy shows on the orders board for the kitchen.
- Daily order numbers and ready texts. Order numbers start again each business day. The guest gets an SMS when an order is ready or rejected.
- Stock, courses and order amendments. Track stock, fire courses and amend orders after they reach the kitchen.
- Kitchen screen order accept, set per venue. Each venue decides whether the kitchen screen accepts an order before it starts cooking.
- Menus per ordering channel. You set which menu items show on each ordering channel.
- Ordering hours. Set the hours your venue takes QR and order-ahead orders.
- Printer offline alerts. Staff get an alert when a docket printer stops responding.
Till, money records and team
- Till, cash drawers and tenders. The till runs shifts and cash drawers and records cash and EFTPOS from your own terminal. It prints receipts and counts the drawer at close, with any variance recorded.
- Z-report checked twice at close. The Z-report at close waits until two independent checks of the night agree. Variances go to the people who need to see them.
- Settlement reconciliation. Reconciliation matches the night's settlement, and anything that does not match lands on a money-exceptions report for you to resolve by hand.
- Public-holiday and weekend surcharges. You set public-holiday and weekend surcharges on orders and till totals, and guests see the surcharge disclosed.
- Kiosk, customer display and handheld register. Self-order kiosks, a customer-facing display and a handheld register.
- Card terminal connected to BookMyVenue. Take card payments on a terminal connected to BookMyVenue, such as Stripe Terminal or Tyro.
- Till register screen with split by item. A register screen for the till, with bills split by item and card tenders taken on a paired device.
- Pair an EFTPOS terminal with a register. Staff link a card terminal to a register so the till knows which terminal takes the payment.
- Cash rounding at the till. Cash tenders round to the nearest five cents, as Australian tills do.
- Linkly EFTPOS terminals. Take card payments on Linkly-connected EFTPOS terminals.
- Offline till mode. A local venue agent keeps the till taking orders when the internet drops, then syncs when it returns.
- Cash drawer count by note and coin. Staff count the drawer by note and coin at close, and the till records the difference.
- Manager override at the till. A manager approves at the till what a staff member cannot do alone.
- Tip pooling and allocation. Tips recorded at the till are pooled and shared among staff under the policy you set.
- Unlimited staff logins with roles. Every plan has unlimited staff logins with roles: owner, manager, front desk, bookkeeper and read-only. The owner invites the team by email.
- Staff PINs and sign-in links. Staff sign in to the till and paired devices with a PIN, or with a passwordless link sent by SMS or email.
- Rosters that drive availability. The roster records who works when, and guests are offered times only when someone is rostered on.
- Timesheets and payout batches. Timesheets come from the minutes staff actually worked, and you group them into payout batches. You pay wages through your own payroll.
- Staff commission. Commission is calculated only on money actually taken.
- Push notifications to staff phones. Staff phones receive native push notifications, and phones that stop responding drop off the list.
- Timesheet CSV export for wages software. Export worked hours as a CSV for your wages software.

Functions, events and promotions
- Function enquiries and quotes. Guests send a function enquiry, you reply with a quote, and the guest accepts it online.
- Ticketed events with door sales. You publish event pages, sell tickets at the door, mark them paid and check guests in.
- Gift cards at the till. You issue, reissue and comp gift cards, and the till takes them like any other tender. Expiry follows the Australian three-year rule.
- Promo codes on bookings. You create promo codes, guests enter one when they book, and our server checks it. The code is recorded on the booking.
Accommodation and stays
- Nightly stays on your own site. Guests book nightly stays on your own site, by room type or a named room such as Room 214. Stays confirm instantly unless you change that.
- Room types, rates and extras. You set room types, seasonal and weekday rates, length-of-stay tiers, extra-guest pricing and extras such as breakfast or a pet fee. GST shows on its own line.
- Room availability board. An availability board shows every room. You block dates and apply changes in bulk, with a preview first and an undo after.
- Reservations desk. The desk handles new stays, date changes with a quoted preview, splits, room moves and group bookings. Check-in, check-out and a today view sit on the same screens.
- Room bill, invoice and registration card. Each stay keeps a room bill that only ever gains new lines. You print the invoice and the registration card from it.
- Housekeeping board. Housekeeping works from a board or a printed list and signs in with a PIN. An activity log records operations, and you manage access codes in the same place.
- Messages to stay guests. You message stay guests before they arrive and during their stay. Stay notifications go out on their own.
- Occupancy and room revenue reports. Stay reports show occupancy and room revenue.
- iCal export of room availability. Your room availability goes out as an iCal feed that other calendars and sites read.
- Stay cancellation and deposit policies. You set a cancellation policy and a deposit policy for each room type. Guests see the policy before they book and pay the deposit online when they book.
- In-room shop. Guests scan the room QR to log a minibar item or ask for one to be brought up. The charge lands on the room bill, and housekeeping gets a restock task.
- Charge to room. A guest staying with you puts bar and bistro spend on their room account and settles it at checkout.
- Guest account with express check-in and checkout. A guest account with a saved card, express check-in and checkout, and one-tap payment at checkout, carried across venues.
- Accommodation as a paid add-on. Accommodation is a paid add-on to any plan. Ask us for the price.
- Room maximum occupancy enforced. A stay cannot be booked with more guests than the room allows.
Customers, messages and reports
