We got the call when the booking system fell over

We ran IT support for local businesses, and we got the call whenever a booking system let one of them down. We kept seeing the same problems: systems built for the software company rather than the business, and fees that grew when the business did. So we built BookMyVenue around what those businesses needed, and put the important promises where nobody can switch them off. Below are six promises about your data and your money, and how we check each one.

Built in, not left to your staff to remember

None of the promises below is a setting someone could switch off or forget. They hold on every screen and for every staff member, whichever way the booking arrives. Each one carries an automated test whose job is to catch us if it ever stops holding.

No other business can see your bookings or your customers
Your bookings and your customer list are kept apart from every other business on BookMyVenue. Access goes by who is logged in, not by the address in the browser. No page and no link opens another business's records.

How we check it: an automated test tries to read another business's bookings and must be refused.

Health records are held to a stricter standard
A clinical note can't be edited after the fact. A correction is a new note that points back at the original, so what was written, and when, stays intact. Only the right people can open a record, and every refusal is logged. The system handles how long notes are kept and when they go, so the front desk never has to remember. We built this against the Privacy Act 1988 (Cth) and NSW's Health Records and Information Privacy Act.

How we check it: an automated test tries to open clinical notes with BookMyVenue's own admin account and must be refused.

Money movements can't be edited after the fact
Every payment, refund and adjustment is written down once and stays written. Only one part of the system can write there, and nothing else can, including the app your staff use. Your totals are worked out from those lines, so nobody rewrites a payment's history later.

How we check it: a comp, discount or refund waiting on an approval is refused, never let through by default.

Two bookings can't take the same slot
When two customers reach for the same table or the same practitioner at the same moment, only one booking is written. The system refuses the second one. That rule sits underneath every screen, so a retry can't slip a second booking through.

How we check it: an automated test fires eight bookings at one slot at once and confirms only one wins.

A message that didn't go out says so
When a confirmation or reminder can't be delivered, say a missing detail or a landline where a mobile was needed, BookMyVenue records it as skipped and says why. It never shows as sent. This is how one venue found out its reminders were failing. A quieter system would have shown them all as sent.

How we check it: every message that fails is stored with the reason, so you can read what happened instead of assuming it went.

Staff see their work, not your takings
Owner, manager, staff and read-only are separate levels of access, and each person's level is set for each venue. One person can be a manager at one site and staff at another. Staff and read-only accounts get no money view at all.

How we check it: an account without money access gets a clear refusal when it asks for a total, never a zero that reads like a real figure.

Your data is yours, and you can take it with you

Your client list and your reports export to CSV any time. On the way in, we can read a Fresha export. There is no lock-in and no exit fee. If you decide to leave, you download a file and go. We charge one published monthly price and we never take a percentage of your sales.

  • Connecting BookMyVenue to your other software

    The groundwork is built and locked down. We have not switched it on for outside software yet, so don't plan a link to another system around it today.

    We work out what you owe each person from the hours they actually clocked. We don't lodge it and we don't move the money.
